These policies ensure the exceptional experience that every guest deserves while maintaining the uncompromising standards that define Pilatee.

By creating an account, booking classes, and participating in any activities at Pilatee, you acknowledge that you have read, understood, and agree to abide by these policies. These standards are designed to protect all guests while maintaining the excellence and consistency that sophisticated individuals expect from their powerhouse home.

class attendance policies

Arrival Requirements

2-Minute Grace Period: Guests must arrive before class begins. A 2-minute grace period is provided after the scheduled class start time. If you arrive more than 2 minutes after class begins, the studio doors will be closed and your reservation will be marked as a no-show.

Why This Matters: This policy helps ensure that classes start on time and that instructors can maintain a safe and uninterrupted class environment for all guests.

Early Arrival Recommended:

First-time guests: Arrive 15 minutes early for orientation and setup
Regular guests: Arrive 5-10 minutes early for optimal preparation
Heated classes: Additional time recommended for acclimatization

Cancellation Policy

8-Hour Advance Notice Required

Cancel 8+ hours before class start time: No charge, class credit preserved
$15 charge for cancelling within the 8 hour window
Cancel less than 8 hours before class: Class will be forfeited/ charged the fee
This policy allows waitlisted guests enough time to be notified and attend

Why This Matters: Our small class sizes and high demand mean that last-minute cancellations prevent other guests from accessing our limited spots. This policy ensures fairness for all members of our community.

No-Show Policy

$25 No-Show applied for Mat/Yoga/Reformer classes

If you do not attend a booked mat,yoga, or reformer class or arrive after the 2-minute grace period, your reservation will be marked as a no-show and an $25 fee will automatically be charged to the card on file.

This policy applies to all bookings:

Memberships
Class packs / credit packages
Drop-in classes

Guests must have a valid credit card on file. By booking a class, you authorize Pilatee to charge applicable fees for no-shows or late cancellations.

Waitlist Management

When a class is full, guests may join the waitlist
If a spot becomes available, the first guest on the waitlist will automatically be added to the class
You will receive a notification confirming your booking
Important: You are responsible for removing yourself from the waitlist if you can no longer attend
Once moved from waitlist to confirmed spot, standard cancellation and no-show policies apply

Class Booking

Class Release Schedule: Classes open for booking 14 days in advance.

Unlimited memberships include up to 30 class reservations per calendar month, giving you the flexibility to book your classes throughout the month.

Membership Commitments

Automatic Payment Authorization

By booking classes or purchasing services at Pilatee, you authorize the studio to charge your card on file for:

Membership payments
Late cancellation fees
No-show fees
Retail purchases
Towel rental or replacement fees
Any other applicable studio fees

Valid Payment Method Required

All guests must maintain a valid credit card on file to book and attend classes.

Membership Holds/Freezes

Life happens. We understand.

Memberships may be frozen for up to 14 days per calendar year
Freeze requests require 48-hour advance notice
Medical freezes (with documentation) may extend beyond 14 days
Travel freezes available for extended absences (7+ consecutive days)

Pricing Changes

Class and package pricing may change with 30 days' notice to active members
Membership pricing changes require 30 days' advance written notice
Current members locked into existing rates during notice period

Medical Acknowledgement

Your safety is our priority.

You confirm that you are physically capable of participating in Pilates and fitness activities
You agree to inform the instructor of any injuries, medical conditions, or physical limitations before class
If you experience discomfort, dizziness, or pain during class, you must immediately stop and inform the instructor
You are responsible for consulting with a physician prior to participating if you have medical concerns

Assumption of Risk

You understand that participating in Pilates, fitness classes, and physical exercise activities involves inherent risks including, but not limited to:

Muscle strain and sprains
Slips or falls
Equipment-related injuries
Aggravation of existing medical conditions

You voluntarily participate and assume full responsibility for any risks, injuries, or damages that may occur.

Heated Environment Considerations

Our scientifically-enhanced heated classes:

Maintain temperatures between 80-90°F with controlled humidity
May cause increased heart rate, perspiration, and fluid loss
Require proper hydration before, during, and after class
Are not recommended for pregnant guests or those with certain medical conditions

Pregnancy Policy

If you are pregnant, you acknowledge that you are participating in Pilates classes at your own discretion and risk and accept full responsibility for exercising while pregnant. We recommend consulting your physician and avoiding heated classes.

Age Requirement

The minimum age to participate in classes at Pilatee is 16 years old. Participants under 16 must have a parent or guardian sign a consent form.

Release of Liability

You release and discharge Pilatee, its owners, instructors, employees, contractors, and representatives from any liability, claims, or damages that may arise from participation in Pilates classes or activities, including injury or illness sustained during or after participation.

This waiver is legally binding and applies to all activities at Pilatee.

Equipment & Studio Respect

Maintaining our powerhouse standards:

All equipment provided; personal equipment not permitted without prior approval
Grip socks required for all reformer classes (available for purchase at front desk)
Clean and disinfect equipment after use as directed
Use all Pilates equipment safely and as instructed
Guests may be held responsible for damage caused by misuse or negligence

Towel Rental Policy

Mat towels are available for rental for $2 per towel
Towels must be returned to the front desk after class
If a rented towel is not returned, it will be considered lost and a replacement fee will be charged to the card on file
By renting a towel, you authorize Pilatee to charge applicable fees

Personal Belongings

Secure storage provided; however, Pilatee is not responsible for lost, stolen, or damaged personal belongings
Valuable items should not be left unattended
Lost and found items held for 30 days before donation

Mobile Phone Policy

Mobile phones are permitted but must be kept on silent during class to avoid disruption
We encourage you to disconnect and be present during your powerhouse experience

Studio Etiquette

Respecting our community:

Maintain proper hygiene standards
Wipe down all equipment after use with cleaning supplies provided
Arrive in clean athletic wear

Dress Code

Form meets function:

Form-fitting, moisture-wicking athletic wear required
Avoid loose clothing that may interfere with equipment
Remove jewelry that could damage equipment or cause injury
Hair should be secured during classes

refund + exchange policies

Class Packages & Memberships

All sales are final.

Class packages, memberships, and special programs are non-refundable and non-transferable
No exceptions for unused classes or early cancellations
No cash value for expired packages or memberships

Gift Cards

Gift cards are non-refundable and non-exchangeable for cash
Gift cards do not expire but cannot be replaced if lost or stolen
Gift card value cannot be split across multiple recipients

Retail Items

Unused merchandise may be returned within 14 days with receipt
Items must be in original condition with tags attached
After 14 days: store credit only
Sale items and grip socks are final sale

Special Events + Workshops

Commitment-based programming:

30+ days before event: Full refund minus $25 processing fee
15-30 days before: 50% refund
Less than 15 days: No refund, but credit may be applied to future events
Medical emergencies: Considered case-by-case with documentation

Class Modifications

Pilatee reserves the right to substitute instructors without notice
Class times and formats may change with reasonable advance notice
Minimum enrollment required; classes may be cancelled if under-enrolled

Private Sessions

24-hour cancellation policy for private and semi-private sessions
Late cancellations charged 50% of session fee
No-shows charged full session fee

Photography + Media Consent

Photos or videos may occasionally be taken for marketing purposes. By attending classes, you consent to the possible use of your image in Pilatee marketing materials unless you notify the studio in writing.
If you prefer not to be photographed, please inform our front desk team.

Discrimination, harassment, or inappropriate behavior will not be tolerated
Respect for all guests, instructors, and staff is expected
Concerns should be reported to management immediately

Communication

Address concerns or feedback directly with management
Professional, respectful communication expected in all interactions
Management reserves the right to terminate memberships for policy violations

These policies may be updated periodically to reflect operational changes or legal requirements. Current members will be notified of significant changes with reasonable advance notice. Continued participation after policy updates constitutes acceptance of new terms.
